Where a coal contract loses money
- Charges nobody booked. Overload fines, border charges and police money paid by the driver in cash and never costed to the trip.
- Fuel. Loaded one way, empty the other; a truck below expected mileage costs more than it earns.
- Trip counts. The plant's weighbridge sheet and your register disagree; with a booking per trip and loaded weight on it, the count is yours.
- Hired trucks. Owners paid from a message; TDS on hire missed; with a bill per hire it is a list, not a memory.
Road expenses from the driver
The driver sends the slip or a message on WhatsApp; AI Inbox proposes an expense on the right booking; you approve. If he paid it himself, it is on his balance and settled in the payroll run. The expense list shows reference number, booking, name, date and amount; filter by name to see what the month paid at borders.
Compliance papers
Permits, fitness, insurance and tax on Document Tracking with next-reminder dates and an Overdue status; driver licences on the Employee tab. A truck stopped at a checkpost on an expired permit is a day of tonnage lost.
One trip
- Book it with plant, loaded weight, truck and driver.
- The driver fuels and sends the slip; it becomes a fuel entry with odometer.
- Border and overload charges go on the trip, from the driver's message or the office.
- At period-end, invoice the plant from the trips; bill the hired-truck owners.
- Read profit per truck; chase the plant's balance from the ageing report.
