Manual LR vs digital LR

Manual LR vs digital LR: the book is written once and read never; the digital LR is written once and read by everything

An LR in a book has every fact the trip needs, and then the clerk copies them into the invoice, the owner’s payment, the driver’s slip and the month-end sheet. A digital LR on NShine ERP carries the same fields, prints the same way, and is the record the invoice, the owner’s bill, the driver’s trip pay and the profit report read from. Built for transporters deciding whether to leave the LR book.

What the digital LR carries

The booking form

LR number, paying customer, booking status, pickup and drop-off dates, driver, vehicle, material, pickup and drop-off address, notes, start and end reading, distance, vehicle type, customer contact.

Goods and papers

Consignor and consignee, goods invoice number, E-Way bill number and valid-until date, container number. It records the E-Way bill; it does not generate one.

Your format

Custom fields sit on the same form and print on the LR: seal numbers, sales person, in and out time, loaded capacity, whatever your book has in its margins.

Read by the invoice

Pick one LR or many on the invoice form; add tax rate, HSN, RCM and TDS; the LR shows the invoice number and moves to Invoice Created.

Read by the owner and the driver

A market vehicle’s owner is billed from the same LR; the driver’s trip pay posts to his balance with the LR number on it.

Read by the POD

The driver sends the delivery photo on WhatsApp or the app; AI Inbox matches it to this LR and stop; you approve.

Bring one page from your LR book

A 30-minute demo where we enter it, print it in your format and raise the invoice from it. No credit card, no setup fee.

A load through the book and through the system

LR book

What happens after the LR is written.

  • The invoice is typed again from the book
  • The owner of the hired lorry is paid from memory
  • The driver’s trip pay is counted at month-end
  • The POD arrives by courier and is filed somewhere
  • Whether LR 1234 was billed is a question for the clerk

Digital LR

What happens after the LR is saved.

  • The invoice is raised by picking the LR
  • The owner’s bill comes from the same LR with TDS
  • Trip pay posts the day the LR is booked
  • The POD is matched to the LR the minute it is sent
  • The status column says Invoice Created

What does not change

The LR still prints. The fields are the ones your book has, and the ones it does not have fit as custom fields. The driver still carries a copy. The customer still gets one. What changes is that nobody types the trip a second time, and the status of every LR is a filter on a list instead of a memory.

Moving the book in

Old LRs do not have to be re-typed. AI Data Import takes a bookings sheet, maps the columns, checks each row and creates the LRs on your confirm. Most transporters import the current financial year and take the next load in the system.

From book to system

  1. Import vehicles, drivers, customers and suppliers from your sheets.
  2. Add your custom fields to the booking form so the printed LR matches your book.
  3. Import past LRs as far back as you want reports for.
  4. Take the next load on the form; print and share the LR.
  5. Raise the invoice by picking LRs; the status column tells you what is left to bill.

What stops happening

The same LR typed into a register, a message and an invoice

Consignee details written out every time

E-Way bill validity remembered in someone’s head

An LR with no idea whether it was billed
