Plant contracts

Contract carriage software for plants: the rate contract, every trip under it, and the monthly bill the plant accepts

An annual contract with a plant, rates per route or per tonne, hundreds of trips a month on own and hired vehicles, one invoice the plant's accounts team audits, and TDS on every payment. Built for transport contractors at factories, plants and warehouses.

*No credit card required

What a plant contract needs

The contract as a quotation

A numbered sales quotation with line items, rates, validity and terms; bookings attach to it.

Every trip booked

LR per trip with plant, consignee, material, weight, vehicle and driver; print and share.

Hired vehicles under the contract

Market vehicles with their owner as supplier; the booking holds his rate; his bill is raised from it.

Monthly invoice with TDS

All the month's trips on one invoice with tax, HSN, RCM and TDS; the Customer TDS Report reconciles deductions.

Margin per contract

Customer-wise profit from the report builder; profit per vehicle from All Vehicle Profit/Loss.

Compliance the plant asks for

Vehicle papers and driver licences with expiry and reminder dates, scans attached.

Bring one rate contract

A 30-minute demo where we enter it, book a week of trips under it and raise the month's invoice. No credit card, no setup fee.

Before and after

Register, Excel and the plant's own sheet

A plant contractor today:

  • Trips in a register; the plant's sheet disagrees
  • Invoice built in Excel, cut by the plant's audit
  • Hired vehicle owners paid from memory; TDS on hire missed
  • TDS deducted by the plant reconciled by hand at year-end
  • No margin figure per contract

NShine ERP

The same contractor:

  • A booking per trip with a POD; the count is yours
  • Invoice from the LRs; report in the plant's columns
  • A bill per hire with TDS; owner dues by age
  • Customer TDS Report, invoice by invoice
  • Profit per contract and per vehicle

The plant's audit, answered

Plants cut invoices for trips they cannot match. With each trip a booking carrying the plant's reference in a custom field, a POD on it, and a report in the plant's columns, the match is theirs to fail, not yours. Short payments and TDS are recorded against the invoice; the ageing report shows what is still open.

Owners under your contract

Supplier bills for hired vehicles carry TDS and last day of payment; the Payables TDS Report and Suppliers Balance Statement show what you deducted and what you owe. The margin between the plant's rate and the owner's rate is on the booking and in the profit report.

A contract month

  1. The contract is a quotation; trips are bookings attached to it.
  2. Drivers send PODs and fuel slips; approve them.
  3. Hired vehicle owners get a bill per trip from the bookings.
  4. One invoice to the plant with tax and TDS; the report in their format.
  5. Allocate the receipt; record the TDS; read the margin.
