GST and TDS

GST, TDS and RCM for transporters: on the invoice when you raise it, in the report when you file

Every customer and supplier invoice carries a tax rate, HSN code, an Apply RCM flag and a TDS percentage. The TDS, RCM and tax reports read them back by customer, supplier and period. Built for Indian transport companies and their accountants.

*No credit card required

On the invoice

Tax rate

Chosen per invoice; the Freight VAT line is computed on the freight total.

HSN code

On the customer invoice form.

Apply RCM

Tick it for reverse-charge customers or suppliers; the invoice is boxed as RCM in the reports.

TDS %

Entered on the invoice; the deduction comes off Amount to Receive or Amount to Pay.

In the reports

The Customer TDS Report, for one customer and a period:

(one row per invoice, with a total)

  • Customer TDS Report: what each customer deducted, invoice by invoice
  • Receivables TDS Report and Payables TDS Report: TDS across all customers or all suppliers
  • Customer RCM Report and Supplier RCM Report: invoices with reverse charge applied
  • Customer TAX Report and Supplier TAX Report: tax by invoice

All of them filter by date range, export to Excel, and read from the same invoices accounts raised.

Why it matters for a transporter

  • Customers deduct TDS on freight, so the amount to receive is never the invoice amount; the report reconciles the two
  • Reverse charge applies to some customers and to some suppliers; one tick on the invoice keeps them out of the standard-rated total
  • Hired-truck owners and fuel stations are suppliers with their own TDS and RCM reports
  • The accountant wants it by period, and the office has it by LR; the reports bridge that

From invoice to return

  1. Set up tax rates once; customers and suppliers carry their GSTIN.
  2. Raise each invoice with its tax rate, HSN and TDS %; tick Apply RCM where it applies.
  3. Record receipts; the TDS gap is on the invoice.
  4. Open the TDS, RCM and tax reports for the period; export to Excel.
  5. File with your accountant, or export to TallyPrime.
