The employee documents list
Document Tracking has four tabs: Vehicle, Employee, Customer, Supplier. The Employee tab has these columns:

What you can do with it
Reminders by date
Set the next reminder ahead of expiry; the row turns Overdue when it passes.
Any document type
Driving licence, PAN, insurance, medical, badge: the type is yours to name.
Per driver
Filter by name to see one driver's papers; by type to see every licence.
Scan attached
The photo the driver sent is on the row; no cupboard search.
Next to the vehicle papers
Insurance, permit, fitness and tax for vehicles on the Vehicle tab of the same screen.
In the report builder
Document columns are available for a saved "expiring next 30 days" report.

One licence
- Add the document on the Employee tab: type, driver, number, issued and expiry dates, reminder date, scan.
- Filter by Overdue each Monday; renew what is due.
- Update the expiry and reminder after renewal; attach the new scan.

A Monday routine
Open the Employee tab, filter Status to Overdue, and you have the list of drivers who cannot legally drive this week. Sort by Next Reminder Date for the ones coming up. Renew, update the dates, attach the new scan. Ten minutes, once a week, and the checkpost never finds out first.
