Alerts and reminders

Fleet alerts and notifications: the reminder arrives before the checkpost, the breakdown or the payday argument

An expired permit is found by the police, an overdue service by the engine, an expiring E-Way bill by the driver on the highway. NShine ERP puts each of those on a list with a date and a status, counts them on the dashboard, and shows new items on the in-app notifications bell, so the office reads the reminder first.

Where a transport office hears bad news today

  • A permit expiry from the checkpost, with the truck held and a fine to pay
  • An oil change from the mechanic, twenty thousand kilometres late
  • An E-Way bill validity from the driver, already past it
  • A driver’s pay dispute on payday, when the advance was forgotten
  • A thirsty truck from the station’s monthly bill

None of these is a surprise in the data. The expiry date was on the document, the service interval on the task, the validity on the LR. What was missing was somewhere to read them before the day they mattered.

What you are reminded about

Services due by km or date

Each service task has a frequency in kilometres and in months; whichever comes first makes it due. The list shows next due date and odometer, and an Over Due flag once passed.

Documents expiring

Insurance, permits, fitness, pollution, tax and driver licences on Document Tracking each carry a next reminder date; the row turns Overdue when it passes.

E-Way bills running out

The E-Way bill number and valid-until date sit on the booking; a saved custom report lists the loads whose validity ends soon.

The notifications bell

The header carries a notifications bell with a count of new items, so what arrived since you last looked is one click from any screen.

A reply to the driver

When a driver’s WhatsApp message or photo is received and approved in AI Inbox, the driver gets a WhatsApp reply, so nobody phones to ask whether the slip arrived.

Payroll rows held

The payroll run holds a row for review when something looks wrong and blocks a negative or zero net, so the problem is seen before the transfer, not after.

Where to read them

Reminders live in three places, and the owner needs only the first.

What it shows

Dashboard

Vehicle services as Upcoming, Due Soon, Overdue and Completed; documents as Current, Overdue, To Be Renewed and Unknown; a fuel chart grouping vehicles as Below Expected, Meets or Exceeds, Missing Expected and No Data

The lists

Vehicle Maintenance with next due date, odometer and Over Due; Document Tracking with next reminder date and Overdue, filterable by status; the saved E-Way report

The bell

New items since you last looked, with a count, from any screen

How a reminder is set

A service task carries its frequency in kilometres and months; the odometer comes from fuel entries, service records and the driver app, so a truck that runs hard is reminded sooner. A document carries its expiry date and a next reminder date you set ahead of it. An E-Way bill carries its validity on the booking. There is nothing to configure beyond entering the record.

What this page does not claim

Reminders are read inside the app: on the dashboard, on the lists and on the bell. This page does not describe email, SMS or push alerts, or geofence and overspeed alerts from tracking, because those were not verified for it. Ask on the demo if you need them.

A Monday with the reminders

  1. Open the dashboard; read the Overdue counts for services and documents.
  2. Open Document Tracking filtered to Overdue; renew, update the dates, attach the new scan.
  3. Open Vehicle Maintenance filtered to Over Due; schedule the trucks with the workshop.
  4. Run the saved E-Way report; extend what expires this week and update the LRs.
  5. Check the bell for anything that arrived from drivers over the weekend.
