Fleet management software that shows what each truck costs and earns
Service reminders, fuel efficiency, document expiry, tyres and loans on every vehicle, in the same system that runs your bookings, so profit per truck is a report, not a guess.

The questions a fleet owner asks every week
- Which trucks are due for service, and which are overdue?
- Which vehicle is burning more fuel than it should?
- Whose insurance, permit or fitness expires this month?
- Where did that tyre go, and what did it cost?
- After fuel, repairs, EMI and the driver, did this truck make money?
Most fleet management software answers the first four. The fifth needs the bookings and invoices, which usually live somewhere else. In NShine ERP they are on the same vehicle record, so the Vehicle Profit/Loss report exists.
What changes for the fleet team
Each row is a weekly headache, what NShine ERP does about it, and where.
What happens today | What changes | Where in NShine ERP |
|---|---|---|
Service dates are on a wall chart | Every service is logged with tasks, odometer, provider and cost; the next reminder is set by date or odometer. The dashboard shows upcoming, due soon and overdue. | Vehicle Maintenance: History and Reminders |
Fuel slips are typed in days later, or never | Each fill records litres, rate, tax and odometer. km/L is computed and compared with the vehicle's expected mileage; cost per km is shown. Receipt photos from drivers are read for you. | Fuel Tracking, AI Inbox |
A permit lapses and a truck is stopped | Vehicle, driver, customer and supplier documents carry expiry and reminder dates with the file attached; status shows current, overdue or to be renewed. | Document Tracking |
Tyres are bought and vanish | Each tyre or asset has a serial number, batch, cost, payment type, the vehicle it is fitted to and the date it was first fitted. | Tyre / Asset Tracking |
EMIs and depreciation never reach the truck | Each loan carries lender, outstanding, EMI and next due date; principal and interest per month and depreciation post to the vehicle. | Loans and Schedules |
Cost per truck is known, revenue per truck is not | Bookings and invoices sit on the same vehicle, so the report shows revenue against fuel, maintenance, supplier, driver, interest and depreciation. | Vehicle Profit/Loss, All Vehicle Profit/Loss |
Hired trucks are managed separately | Own and market vehicles are in one list; a market vehicle carries its supplier so hire charges become supplier invoices. | Vehicles (ownership type) |
Who it is for, and what it is not
Built for
- Truck owners and fleet managers running their own vehicles
- Transporters who also hire market trucks and want both in one list
- Fleets that want maintenance, fuel, documents and tyres with the trips, not beside them
- Owners who want profit per vehicle without a spreadsheet
Not what it does
- Not a GPS or fuel-sensor device. Tracking uses your telematics accounts; fuel comes from entries, imports and receipt photos.
- Not a workshop management system for a garage. Maintenance is recorded per vehicle, not per job card.
- Not a vehicle leasing or rental platform.
- Not an on-premise install. It runs in the browser; drivers use a mobile app.
How a truck's month builds up
- Fuel fills are entered, imported from Excel, or read from receipt photos in AI Inbox; km/L and cost per km update.
- Services are logged with tasks, provider and cost; the next reminder is set by date or odometer.
- Documents due for renewal appear with their reminder date.
- Schedules posts this month's EMI, split into principal and interest, and depreciation to the vehicle.
- Bookings on the vehicle bring revenue; supplier, driver and expense entries bring cost.
- The Vehicle Profit/Loss report shows the month; All Vehicle Profit/Loss compares the fleet.

Fleet software on its own
Gaps when the fleet system cannot see the bookings:
- Cost per vehicle is known, revenue per vehicle is not
- Loan interest and depreciation never reach the truck
- Maintenance spend is not matched to the trips the truck ran
- Fuel receipts arrive on WhatsApp and are typed in later
NShine ERP
Because the vehicle carries its bookings too:
- Vehicle Profit/Loss includes revenue, fuel, maintenance, supplier and driver cost
- Schedules post EMI interest and depreciation to the vehicle
- Maintenance Statement and Travel Log line up with the same period
- Receipt photos become fuel entries after approval
