How a part moves through

  • Add the part as a product with its code, category and rates
  • Buy it on a purchase invoice with a product line; stock increases
  • Use it on a service as a parts amount, or fit it as a tracked asset by serial
  • Count the shelf; post a stock adjustment if the count differs
  • Read the Stock Report

Parts and stock, honestly

A service records parts as an amount per task, not as a product line, so stock is reduced through stock adjustments rather than automatically. High-value items such as tyres and batteries are tracked individually by serial number instead, with the vehicle they are on.

A month in the store

  1. Purchase invoices for the month are recorded with product lines.
  2. Services through the month record parts amounts per task.
  3. Tyres and batteries fitted are recorded by serial on their vehicles.
  4. The shelf is counted; a stock adjustment corrects the quantities.
  5. The Stock Report shows what is on hand and what it is worth.

What stops happening

Parts bought twice because nobody knew they were on the shelf

No value on the shelf for the accounts

Tyres fitted and never seen again

Service cost without the parts used

Good to know

Products can be services as well as parts, so a recurring workshop charge can sit in the same list. The stock adjustment is per warehouse, which matters for fleets with a store at more than one depot. Purchase invoices for parts carry the supplier, tax and payment status like any other bill, so the parts supplier appears in supplier payments and the ageing report with everyone else.
