Suppliers

Supplier management for transporters: every truck owner, station and garage with a bill, a balance and an age

A transporter's suppliers are not catalogue vendors. They are the owner of the hired truck, the station that gave diesel on credit, the garage, the parts shop. Each is a record whose bills come from bookings, fuel entries and purchases, with TDS where it applies. Built for transport companies with hundreds of suppliers.

*No credit card required

Four kinds of supplier

Truck owners

On the market vehicle as its owner; a bill per hire from the booking; TDS on hire.

Fuel stations

A fill marked Not Paid becomes a bill for the station, related to Fuel Tracking, and shows in the To Pay list without anyone typing it.

Garages

Service providers on the service record; their bills with the others.

Parts shops

Purchase invoices with product lines; the shop's balance and ageing with everyone else.

What the To Pay list shows

The dashboard's To Pay list, and the Supplier Invoice list behind it, carry these columns:

Column

Meaning

Supplier Name, Invoice No., Date

Who and which bill

Amount to Pay, Paid Amount, Balance Due

The money

Last Day of Payment, Age Days

When it is due and how old it is

Payment Status

Unpaid, Partial, Paid

Related To

Booking, Fuel Tracking, or the purchase

The dashboard tile counts your suppliers; the To Pay list below it is sorted so the oldest and largest balances, often the fuel stations, sit at the top.

Paying and reporting

  • Supplier Payments records each payment with number, supplier, date and total; Save & Add Payment on the bill does it at once
  • Single Supplier Statement and Suppliers Balance Statement for one or all
  • Supplier Invoice Aging Report by 30-day bucket
  • Payables TDS Report and Supplier RCM Report for the tax side

Opening balances

AI Data Import takes supplier ledgers from Excel with opening balances, so the truck owners you already owe start the system owed.

One supplier

  1. Create the supplier with contact, TRN and bank details; set him as owner on his truck if he hires it out.
  2. Bills arrive from bookings, fuel entries or purchases, each with last day of payment.
  3. Pay against the bill; the balance and age update.
  4. Read the statement and the ageing report; TDS is in the Payables TDS Report.
