Purchases

Purchase invoices and products: what the workshop buys, on a bill, with a rate, from a supplier you can pay

Filters, batteries, tyres, oil, AC parts: bought from a dozen suppliers, on bills nobody files, at prices nobody compares. NShine ERP keeps a product list with rates and a purchase invoice per bill, importable from Excel, payable like any supplier bill. Built for fleets with their own workshop.

The product list

The Items List holds every product and service you buy or charge for, with these columns:

Column

What it holds

Name

The part or service as you call it: a filter, a battery, a tyre size, a wash

Code, Category, Brand

Yours to fill, for searching and grouping

Purchase Rate

What you last paid, so the next quote can be compared

Sales Rate, Discounted Sale Rate

What you charge when you bill the item on

Products can be parts or services, so a workshop charge sits in the same list as a filter.

What you can do

Keep a product list

Name, code, category, brand, purchase rate, sales rate, discounted sale rate; add from the list.

Record a purchase invoice

A bill from a supplier with product lines; a date range, print and Excel on the list.

Import bills from Excel

AI Data Import on the purchase invoice list; one product line per invoice row.

Pay the supplier

The bill sits with the other supplier bills; last day of payment, balance, age; Supplier Payments settle it.

Use on a service

Parts on a service are an amount per task; stock is corrected by stock adjustment.

Stock report

Quantities and value by product under Transport reports.

Bring last month's parts bills

A 30-minute demo where we load them as purchase invoices and show the supplier balance. No credit card, no setup fee.

Why bills, not slips

  • A purchase invoice carries the supplier, so his balance and ageing are right
  • Product lines carry the rate, so the next quote can be compared
  • The bill posts to the books, so the workshop cost is in the P&L
  • Tyres and batteries bought here are then tracked by serial on the vehicle

Workshop suppliers in the ageing report

Parts suppliers appear in Supplier Payments and the Supplier Invoice Aging Report with the fuel stations and truck owners, so what the workshop owes is in the same list as what the fleet owes.

One parts purchase

  1. Add the part to the product list with its rates, once.
  2. Record the supplier's bill as a purchase invoice with product lines, or import the month's bills.
  3. Fit tyres and batteries by serial; adjust stock for the rest.
  4. Pay the supplier against the bill; the balance and ageing update.
  5. Read the stock report and the maintenance statement.
