Payroll software for transport companies, where drivers are paid per trip and take advances
Attendance, salary packages, trip pay posted per trip, a monthly run that recovers advances and blocks anyone who would end up negative, payslips and salary payments. Drivers, helpers and office staff in one run.
*No credit card required
Salary day, step by step
Attendance
A month grid per employee. Unmarked days count as present; paid days and LOP are counted.
Packages in People
Each employee's salary package for the month: a driver salary template, an employee template, or "Package missing" to fix.
Trip pay already posted
Each trip posts the driver's earning to Employee Payments by his pay type; the run shows it as a Trip based salary line.
Advances recovered
Advances on the driver's balance are recovered in the run; Advance paid and Advance given back show as transactions.
Held and blocked
Negative net, zero net, no monthly salary, net changed vs last month, inactive without last working date. Any row can be held by hand.
Payslips and payments
Gross, additions, deductions, net per person; Approve; payslip; salary payments recorded.
Bring one driver's advances and trips
A 30-minute demo where we run his month and show the payslip. No credit card, no setup fee.
The run itself
Run and approve this month. The top shows gross, deductions and net for everyone, and three counts: Ready to approve, Held for review, Posted. Below, each person has Paid days, LOP, Transactions, Gross, Additions, Deductions and Net, with a Payslip button.
- Blocked: cannot be approved until fixed. Reasons it gives: "Net is 0.00", "NegativeNetPay", "InactiveEmployeeLastWorkingDateMissing".
- Held for review: needs a look. Reasons it gives: "Net changed vs last month", "No monthly salary on the employee".
- Ready to approve: everyone else, each with a Hold button if you want to stop one.
Pay types
- Monthly: a salary package set in People, with additions such as house allowance and deductions such as provident fund or health insurance
- Trip-based, fixed: a set amount per trip, posted when the trip runs
- Trip-based, percentage: a share of the trip, posted when the trip runs
Trip pay stays in Employee Payments, where each line reads "Driver earned for trip" with the LR number. The run picks it up as a transaction.
Before and after
Spreadsheet or generic HR payroll
Why it does not fit transport:
- Trip pay calculated outside and typed in
- Advances tracked separately and under-recovered
- Negative or zero salaries paid without a check
- Leavers and joiners handled by memory
NShine ERP payroll
Built around how drivers are paid:
- Trip pay from the trips, by the driver's pay type
- Advances recovered in the run, visible as transactions
- Blocked and held rows reviewed before approval
- Attendance, run, payslips and payments in one place
A payroll month
- Mark attendance through the month; unmarked days count as present.
- Set or check each employee's package in People; trip-based drivers earn per trip on their own.
- Record advances as they are given; they sit on the driver's balance.
- Open the run: review Blocked and Held, fix what needs fixing.
- Approve, issue payslips, record salary payments.
