Brokers and agents

Freight brokers and commission agents: the party’s rate, the owner’s rate and your margin, on every load

You own no lorry. A party gives you a load, you find an owner to carry it, and you live on the difference between what the party pays and what the owner takes, less what the party deducts as TDS. NShine ERP keeps both rates on one booking, raises the invoice and the owner’s bill from it, and shows the margin per load and per party. Built for agents and brokers with zero own vehicles.

Why an agent’s books are harder than a fleet’s

A fleet owner has one bill per load. An agent has two: the invoice to the party and the bill from the lorry owner, and the margin is whatever is left between them after the party deducts TDS and the owner is paid on time. With a few hundred loads a month across dozens of owners, the two sides are kept in two notebooks and the margin is known at year-end, if at all.

  • Owners paid from a message, sometimes twice, sometimes short
  • TDS deducted by the party reconciled from bank credits a year later
  • TDS on hire owed to the owner missed, and found by the auditor
  • No figure for which party or which route leaves a margin
  • Advances to owners against future loads lost in the notebook

What an agent gets

Owners as suppliers on their lorries

Every lorry you book is a market vehicle with its owner as supplier. The owner list is your supplier list, with balance, ageing and a statement each.

Two rates on one booking

The booking holds the party’s rate and the owner’s rate side by side. The margin is the difference, read on the same record.

Invoice and owner bill from the same LR

The customer invoice picks the bookings with tax, HSN, RCM and TDS; the owner’s bill is raised from the same booking with TDS on hire and a last day of payment.

TDS both ways

What the party deducted sits on the invoice and in the Receivables TDS Report; what you deduct from the owner sits on his bill and in the Payables TDS Report.

Margin per load and per party

The report builder shows profit per booking and a customer-wise profit view, so the party that pays slowly and the route that pays thinly are both visible.

Who owes and whom you owe

Customer and Supplier Invoice Aging Reports by 30-day bucket; statements for any party or owner; receipts and payments allocated against bills.

Before and after

Two notebooks

How the agency runs today.

  • Party bills typed in Excel, owner payments in a diary
  • TDS on both sides worked out at year-end
  • Owners paid before the party has been invoiced
  • Margin a feeling, not a figure
  • A new clerk cannot tell what is owed to whom

One booking

The same agency on NShine ERP.

  • Invoice and owner bill from the same booking
  • TDS on the invoice and on the bill, reported both ways
  • Owner bills with a due date and an age
  • Profit per booking and per party in the report
  • Every owner and party with a balance and a statement

Why the plan is small for an agent

Plans are priced by bookings per month, own vehicles and users. An agent has no own vehicles, so the plan is set by the loads booked and the people using it; the lorries you hire are market vehicles and are not counted.

Starting from the notebooks

AI Data Import takes the party list and the owner list from Excel with opening balances, so the owners you already owe and the parties who already owe you start the system that way. If your accountant files from Tally, the books export one way to TallyPrime.

The margin, honestly

There is no commission field. The margin on a load is the party’s rate less the owner’s rate on that booking, and the profit report subtracts any expenses you recorded against it. Short payments and TDS are recorded against the invoice, so the margin you read is the one you will actually keep.

One load through an agency

  1. Book it with the party, the consignee, the owner’s lorry and both rates. Print the LR.
  2. The driver sends the POD on WhatsApp; approve it on the booking.
  3. Raise the party’s invoice from the booking with tax and TDS.
  4. Raise the owner’s bill from the same booking with TDS on hire; pay it against the bill.
  5. Record the receipt and the TDS the party deducted; read the margin on the booking.
