Profit and loss

Trip profit and loss: what each truck and each load actually earned

Revenue from the bookings, minus supplier hire, fuel, driver payments and expenses. One truck for a period, or the whole fleet side by side, the day you ask. Built for fleet owners and brokers.

The report, column by column

All Vehicle Profit/Loss puts every truck in a row. Fleet totals sit at the top. For any month it reads like this:

A minus figure

Sort by profit. The bottom rows are the trucks to look at. A hired truck shows its margin as revenue minus supplier hire; an own truck shows fuel and driver payments instead.

Where each column comes from

Revenue

The customer rate and charges on the bookings, billed through the customer invoice.

Supplier hire

The supplier rate on bookings run on hired vehicles, billed as supplier invoices.

Fuel cost

Fuel entries on the vehicle, including slips sent by drivers and approved in AI Inbox.

Employee payments

Trip pay posted per trip ("Driver earned for trip" with the LR number), advances and other driver payments.

Expenses

Tolls, loading, parking and other expenses related to the booking or the vehicle.

Profit

Revenue minus the four cost columns, per vehicle and for the fleet.

Per booking and per customer

The report builder's Bookings source has Expenses Total, Fuel Expenses Total, Driver Payments Total and Profit Loss columns per LR, next to customer, consignee and your custom fields. Pick columns, filter by customer, save it. A saved customer-wise profit and loss report is one example.

What makes the number right

  • Fuel entries with the odometer, sent from the pump or entered by the office
  • Expenses related to the booking or vehicle when entered
  • Each driver's pay type set, so trip pay posts correctly
  • The supplier rate on every hired-truck booking

Loan interest and depreciation post to the books through Schedules; the Vehicle Maintenance Statement reports services. Ask us how to present those against a vehicle in your setup.

How a truck's profit builds up

  1. The booking is created with the customer rate and, for a hired truck, the supplier rate.
  2. The driver's fuel slips arrive by WhatsApp or the app and are approved into fuel entries.
  3. His trip pay posts to Employee Payments; expenses are recorded against the booking or vehicle.
  4. The customer invoice and the supplier invoice are raised from the booking.
  5. Vehicle Profit/Loss shows the truck; All Vehicle Profit/Loss shows the fleet; Vehicle Statement lists the entries.
