Vouchers and ledgers

Vouchers and chart of accounts: the ledgers a transport company needs, and the entries the system does not make for you

Most entries come from invoices, bills, payments, fuel and payroll. For the rest, journal vouchers with notes and an Approved status, bank transactions with a voucher number, and a chart of accounts with groups and defaults already set for transport. Built for the accountant.

*No credit card required

The chart of accounts

Two tabs: Account List and Account Group. Each ledger on the Account List has:

Column

Meaning

Ledger Name

The account, such as a customer, a supplier, a bank, or an expense head

Account Group Name

Its group, such as Account Receivables or Account Payable

Is Default

Whether the system created it and posts to it automatically

  • Customers, suppliers and employees get ledgers as you create them, under the right group
  • Bank and cash accounts from Bank & Cash appear as ledgers
  • Add your own heads for anything the defaults do not cover

Three kinds of manual entry

Journal voucher

Debit and credit lines, a date, notes such as "Depreciation (vehicle) Oct 2026", a status that reads Approved when posted.

Bank transaction

A transfer between accounts: voucher number TRNS…, from account, to account, amount, date.

Expense

Not strictly a voucher: a road or office expense with a reference number, related to a booking or vehicle.

Bring your ledger list from Tally

A 30-minute demo where we map it to the chart of accounts and post an opening balance voucher. No credit card, no setup fee.

Where vouchers show up

  • Voucher list: number, type, date, notes, status; filter by voucher type
  • Day Book: every voucher in a range with account, debit and credit; filter by voucher type
  • Ledger Report: the account's entries including vouchers
  • Trial balance and statements: the balances after them

What you post by voucher in a transport company

  • Opening balances when you start
  • Depreciation, if you do not use Schedules for it
  • Owner's drawings and capital
  • Corrections and reclassifications after the CA's review
  • Provisions and accruals at year-end

A journal entry

  1. Open Voucher, add a journal voucher with date and notes.
  2. Pick the ledgers and enter debit and credit amounts.
  3. Save; it shows in the list as Approved and in the day book.
  4. The ledger report and trial balance reflect it at once.
